Here you will find the booking and cancellation conditions as they apply to all bookings (reservations) with ECOlonie.

A1. General

All information on the website (www.ecolonie.eu) is subject to change, correction, and typographical errors. This also applies to the (accommodation) prices mentioned. The final amount for your booking will be stated in the confirmation we send you after processing your request.

It is possible that the amount we have charged is still subject to a price change. Reservations made for the following year may be affected by a price adjustment. Of course, this will be stated in the confirmation.

A2. Huisregels

We would like to draw your attention to our most important house rules:

  1. We aim to provide a low-radiation environment. Many people are hypersensitive to radiation and may experience physical symptoms. We want to take that into account. Therefore, the use of digital wireless communication devices is not allowed. This includes, at a minimum: mobile calling, texting, mobile internet, WiFi, Bluetooth, and DECT. Everyone is required to switch off their mobile phone or set it to airplane mode. In addition, all wireless functions on laptops, tablets, etc., must be completely disabled. If you still wish to use your mobile phone, you may do so in the car park or outside our premises.
  2. Smoking is not permitted anywhere on our grounds (this includes Forge Neuve and our goat farm) or in any ECOlonie buildings. E-cigarettes are also not allowed. Smoking in your own tent or caravan is likewise prohibited.
  3. At ECOlonie, we use an ecological/biological wastewater filtration system. This system purifies our wastewater before it is returned to the environment. To ensure its proper functioning, only biological (personal care) products may be used, such as shampoo, toothpaste, sunscreen, dish soap, etc.

B1. General

  1. You can book with us via our website. In exceptional cases and by prior arrangement, reservations may be accepted by email.
  2. After receiving your booking, we will send a confirmation by email within 4 working days; the reservation then becomes final.
  3. If you book a camping spot, you are reserving a pitch. On the day of arrival, a pitch will be assigned based on current availability.
  4. If you pre-book meals but skip them during your stay, those meals will still be charged. Half board or full board must be booked for the entire duration of your stay.
  5. Pets are only allowed in rooms, gîtes, the mobile home, or on the campsite by prior arrangement. Pets are not allowed in rental tents. All pets must be kept on a leash and walked outside our premises. It is the owner's responsibility to ensure that pets do not cause inconvenience to other guests (e.g., barking). Pets are not permitted in the dining hall.

By entering into a reservation, you declare that you agree to the provisions outlined in these terms and conditions.

B2. Payment

  1. After receiving the confirmation, the full reservation amount (including any security deposit) must be paid within two weeks via iDeal, Bancontact, or by bank transfer to our Dutch bank account.
  2. If the reservation is made within two weeks prior to the arrival date, the full reservation amount must be paid immediately via iDeal, Bancontact, or bank transfer.
  3. The reservation is not automatically canceled if payment is not received. However, ECOlonie reserves the right to cancel the reservation if payment (or down payment) is not made on time. In such cases, the guest will be notified.
  4. If a security deposit is required for rented accommodation, this deposit will be refunded—after deduction of any outstanding charges such as damages or losses—within two weeks after departure to the bank account known to us, or it will be refunded in cash on the day of departure.

B3. Cancellation

  1. Cancellations can be made by sending an email to info@ecolonie.eu, including your reservation number, the period, and your name. You will receive a confirmation from us, after which the cancellation is final.
  2. In case of cancellation, the following amounts are due:
    a. Cancellation up to 56 days before the day of arrival: an administration fee of €25 applies.
    b. Cancellation from the 56th day (inclusive) up to 28 days before arrival: 25% of the total reservation amount is due.
    c. Cancellation from the 28th day (inclusive) up to 14 days before arrival: 50% of the total reservation amount is due.
    d. Cancellation from the 14th day (inclusive) up to the day of arrival: 75% of the total reservation amount is due.
    e. Cancellation on the day of arrival or later: the full reservation amount is due.
  3. If the reservation has already been paid, the amount minus the due cancellation fee as stated in section B3 article 2 will be refunded. If the amount has not yet been paid, the due amount must be paid to ECOlonie within two weeks. In case of early departure, the security deposit will be refunded after deduction of any additional costs incurred.
  4. If your course or stay cannot take place due to compelling government measures (such as a negative travel advisory—orange or red code), your reservation will be canceled free of charge. If you have already paid, you can choose either to have the full amount refunded or to keep it as credit for a future visit.

Different conditions apply for cancellation of courses. Please see section C3 for details.

B4. Number of persons

  1. It is not permitted to use the accommodation or camping pitch with more persons than stated at the time of booking.
  2. If you wish to receive visitors, this must be reported to the reception.

Visitors are required to pay accommodation fees (if applicable), user membership fees, and tourist tax as stated in our price list. In principle, no charges apply for day visits.

B5. Diets

We can accommodate certain dietary requests when preparing meals. We offer a lactose-free and a low-gluten diet:

  • Lactose-free: Cow's milk and goat's milk are replaced with plant-based milk alternatives. For cheese and paneer, alternatives such as soy, tofu, and nutritional yeast flakes are used. Butter is used in limited amounts.
  • Low-gluten: Gluten-free pasta, quinoa, or tofu and soy are used as alternatives to pasta, couscous, and seitan. Gluten-free flour such as buckwheat flour is used for sauces and similar dishes. We cannot guarantee that the diet is completely gluten-free, and the preparation does not take place in a separate room or with special cookware, which is why we use the term “low-gluten.”

These alternatives apply to the evening meal. For breakfast and lunch, you have free choice of what you take.

Please inform us at the time of booking if you would like to make use of the lactose-free and/or low-gluten diet option.

B6. Use of facilities

  1. Guests are allowed to use the facilities at ECOlonie, such as the shop, studio, and workshops/courses. It is also possible to sign up for all meals. This also applies to (day) visitors, although participation in courses and workshops requires prior consultation with and permission from the reception.
  2. On “Forge Neuve”, there is a lake where swimming is permitted at your own risk. On the main site, “Thietry,” there is also a small lake where swimming is allowed at your own risk, depending on the water level and water quality.

B7. Cancellation insurance:

  1. You are responsible for arranging your own travel and/or cancellation insurance.

B8. Liabilit

  1. ECOlonie is not liable for accidents or thefts on its premises or for damage to accommodations, unless this is the result of a shortcoming attributable to ECOlonie
  2. ECOlonie is not liable for consequences of extreme weather conditions or other forms of force majeure.
  3. As a guest of ECOlonie, you are liable to ECOlonie for damage caused by your own actions or omissions, those of your fellow guests, and/or third parties, insofar as the damage can be attributed to the tenant, fellow guests, and/or third parties.

Additional rental conditions for accommodations
(gîte, cabin, rental tent, rental caravan, hiker's cabin)

H1. Arrival and departure

  1. Upon arrival and departure, please report to the reception at the main site, Thietry. After checking in and paying any outstanding balance, you will receive instructions on the use of the accommodation and, if applicable, the key.
  2. Upon departure, the accommodation will be inspected using the inventory list. Any damage or defects will be charged accordingly; see section H3 Damage and defects.
  3. On the day of arrival, the accommodation is available from 4:00 PM. On the day of departure, the accommodation must be vacated before 10:30 AM, and the key (if applicable) must be returned.

H2. Cleaning

The accommodation is cleaned by ECOlonie. The associated cleaning costs must be paid in advance. We expect you to keep the accommodation tidy during your stay and to leave it broom-clean upon departure. Waste should be disposed of in the designated communal waste bins.

H3. Damage and defects

These must be reported to the reception immediately. Upon departure, the costs (for repairs, replacement, lost income, etc.) will be deducted from the security deposit.

H4. Pets

  1. Pets are only allowed by prior arrangement in the rooms, gîtes, or on the campsite.
  2. Dogs are allowed if they are calm and do not bark unnecessarily. They must be kept on a leash at all times on the premises and walked outside the grounds. Dogs are not allowed in the dining hall during meal times.
    Additionally, if staying in a room, you must bring your own mat or crate for your dog.

Additional conditions for courses

Applicable to participation in a course at ECOlonie.

C1. General conditions

  1. You can only register for courses by submitting a registration form via our website or by email (unless otherwise stated).
  2. After receiving the registration form, we will send a confirmation by email within 4 working days.
  3. No later than 14 days before the day of arrival, it will be decided whether a course will take place or not (for example, due to insufficient participation). If the course is canceled, the total amount will be refunded to the participant’s bank account within 14 days.
  4. If a course is canceled at the last moment due to force majeure, such as illness of the instructor, the total amount will also be refunded within 14 days to the participant’s account. If the participant has already arrived, they cannot claim compensation for other costs incurred, such as travel and accommodation expenses.
  5. The organization is not liable for any mental or physical damage that is presumed to be caused by participating in the course.
  6. The minimum age for participating in a course is 18 years (unless otherwise stated).

C2. Payment

  1. After receiving the confirmation, the full payment for participation must be made within 2 weeks. See payment conditions B2, articles 1 and 2.
  2. Registration is final after receipt of the written confirmation of participation. The registration is not automatically canceled if the deposit is not received. However, ECOlonie reserves the right to cancel the registration if the deposit has not been paid. The participant will be notified accordingly.

C3. Cancellation conditions

  1. Cancellations can only be made by email. You will receive a confirmation from us afterward.
  2. If a registration is canceled, the following amounts are due:
    a. For cancellations up to 42 days (6 weeks) before the day of arrival as stated in the confirmation, an administration fee of €25 is charged.
    b. For cancellations from the 42nd day (inclusive) up to the 21st day (3 weeks) before the day of arrival, 50% of the total amount is due.
    c. For cancellations from the 21st day (inclusive) before the day of arrival up to and including the end of the relevant course week, the full total amount is due.

C4. Pets

  1. Our general stay rules apply, with the understanding that pets are not allowed during course sessions.
